Workplace Policy โ€” FortisArena

FortisArena is a hybrid-first gaming platform built on creativity, performance, accountability, and flexibility. This Workplace Policy explains how our team works across remote, on-site, and hybrid environments while maintaining strong collaboration, operational discipline, and a healthy work culture.
FortisArena operates on a hybrid work model. Team members may work remotely by default, while also coming together in person for important planning cycles, product launches, creative collaboration, team onboarding, and business-critical work. We believe great games and platforms are built by focused, trusted, and energized people โ€” not by where they sit every day.

๐Ÿข 1. Purpose

The purpose of this policy is to provide clear workplace expectations for FortisArena team members, contractors, partners, and contributors. It is designed to support:
  • Productive remote and hybrid collaboration
  • Clear communication across time zones
  • Healthy work-life balance
  • Strong information security practices
  • Fair and consistent workplace expectations
  • A culture of ownership, performance, and trust
This policy applies to all FortisArena work activities, whether performed from home, a shared workspace, a company-approved office, an event location, or any other remote environment.

๐Ÿ“Œ 2. Scope

This policy applies to:
  • Full-time employees
  • Part-time employees
  • Contractors and consultants
  • Remote contributors
  • Interns and trainees
  • Any person working with FortisArena systems, documentation, intellectual property, or internal communication channels
Where local employment agreements, contractor agreements, or applicable laws provide more specific requirements, those documents and laws will take priority.
This policy is an operational workplace guideline and does not replace employment contracts, contractor agreements, local labor laws, tax obligations, immigration rules, or professional legal advice.

๐ŸŒ 3. Our Workplace Philosophy

FortisArena values flexibility, but flexibility works best when paired with responsibility. Our workplace culture is based on the following principles:

๐Ÿงญ 4. Work Model Overview

FortisArena uses a hybrid-first model with three practical working modes: Hybrid work at FortisArena is not intended to create unnecessary office attendance. It is intended to bring people together when in-person collaboration creates meaningful value.

๐Ÿ  5. Remote Work Policy

Remote work is supported for eligible roles where responsibilities can be performed effectively away from a physical office. Remote team members are expected to maintain a professional work setup and remain reachable during agreed working hours.

5.1 Remote Work Eligibility

Remote work eligibility may depend on:
  • Role requirements and team responsibilities
  • Access to secure internet and appropriate equipment
  • Ability to protect confidential information
  • Time zone compatibility with team operations
  • Performance, reliability, and communication standards
  • Legal, tax, contractual, or compliance limitations
Some roles may require more frequent on-site presence due to leadership responsibilities, event operations, hardware access, regulatory requirements, partner meetings, or production needs.

5.2 Remote Workspace Expectations

Team members working remotely should maintain a workspace that supports focus, privacy, and professional communication. A suitable remote workspace should include:
  • Reliable internet connection
  • Quiet environment for calls and focused work
  • Appropriate desk, chair, lighting, and device setup
  • Privacy for confidential meetings and internal discussions
  • Secure device storage when not in use
  • Compliance with FortisArena security requirements
Public places such as cafes, airports, hotels, and shared lounges may be used temporarily, but confidential work must be handled carefully and only when privacy and security can be maintained.

5.3 Remote Work Responsibilities

Remote team members are responsible for:
  • Keeping calendars and availability updated
  • Joining scheduled meetings on time
  • Providing timely progress updates
  • Documenting decisions and project context
  • Using approved communication and project tools
  • Protecting company data and login credentials
  • Reporting blockers early
  • Maintaining professional conduct in digital channels
Remote work is a trust-based arrangement. Continued eligibility depends on consistent delivery, communication quality, and responsible handling of company resources.

๐Ÿข 6. On-Site Work Policy

FortisArena does not enforce rigid daily office attendance for all team members. On-site work is used intentionally when physical presence improves collaboration, speed, quality, trust, or execution.

6.1 When On-Site Attendance May Be Required

In-person attendance may be requested for:
  • Major product planning sessions
  • Sprint kickoffs and roadmap workshops
  • Team onboarding and training
  • Launch weeks and critical release periods
  • Creative brainstorming workshops
  • Leadership reviews and strategy sessions
  • Investor, partner, or client meetings
  • Security-sensitive operational work
  • Company events, tournaments, and community activations
  • Team-building and culture sessions
Managers should provide reasonable notice when on-site attendance is required, except in urgent operational circumstances.

6.2 On-Site Conduct

When working on-site, all team members are expected to:
  • Arrive prepared and on time for scheduled sessions
  • Treat colleagues, visitors, partners, and service staff with respect
  • Follow venue, office, health, safety, and security rules
  • Protect laptops, devices, documents, access cards, and company property
  • Use meeting rooms and shared spaces responsibly
  • Avoid disruptive behavior, harassment, discrimination, or unsafe conduct
  • Keep confidential conversations private
On-site work should be productive, respectful, and purposeful. Attendance alone is not considered performance.

6.3 Travel and Event Attendance

Where travel is required for an approved company event, launch, partner meeting, tournament, or team session, FortisArena will communicate expectations in advance. Travel arrangements, reimbursement eligibility, approvals, and required documentation may be handled under a separate travel or expense policy. Team members should not make non-refundable travel commitments for company work unless the travel has been approved through the appropriate internal channel.

๐Ÿ” 7. Hybrid Work Expectations

Hybrid work combines remote flexibility with intentional in-person collaboration. The following expectations apply to hybrid team members:
  • Be available remotely during core collaboration hours
  • Attend required on-site sessions when reasonably requested
  • Plan work around milestones, launches, and team dependencies
  • Keep project boards, documents, and communication channels updated
  • Participate equally whether joining remotely or in person
  • Respect that different roles may have different on-site needs
Hybrid work is evaluated by business needs, team performance, delivery quality, and the ability to collaborate effectively.

โฐ 8. Working Hours and Availability

FortisArena supports flexible scheduling, but teams need predictable overlap to operate effectively. Core collaboration hours: 12:00 PM โ€“ 6:00 PM PKT During core collaboration hours, team members should generally be available for:
  • Team meetings
  • Quick clarifications
  • Cross-functional collaboration
  • Urgent product or operational discussions
  • Reviews, approvals, and decision-making
Outside core collaboration hours, team members may structure their day based on role, workload, personal focus time, and team expectations.

8.1 Time Zones

FortisArena currently operates with team members based in United Kingdom, United Arab Emirates, Pakistan, with remote contributors globally. Teams should be mindful of time zone differences when scheduling meetings, assigning urgent work, or expecting responses. Where possible, important decisions should be documented so team members in different time zones can stay aligned without needing to attend every live discussion.

8.2 Attendance and Responsiveness

Team members are expected to:
  • Attend scheduled meetings or decline in advance when unavailable
  • Respond to urgent messages within a reasonable timeframe during working hours
  • Share planned leave, appointments, or extended unavailability in advance
  • Update task status before going offline when work affects others
  • Avoid unnecessary delays in approvals, reviews, or handoffs
Availability does not mean being online every minute. It means being dependable, transparent, and respectful of team dependencies.

๐Ÿ’ฌ 9. Communication Standards

Strong communication is essential in a hybrid-first company. FortisArena encourages clear, respectful, and documented communication.

9.1 Communication Channels

Team members should use the appropriate channel based on urgency and context:

9.2 Async Communication

Async communication is encouraged for non-urgent work. Good async updates should include:
  • Clear context
  • Current status
  • Blockers or risks
  • Decisions needed
  • Next steps
  • Owner and expected timeline
Team members should avoid relying only on verbal decisions. Important decisions should be written down in the appropriate project or documentation space.

9.3 Meeting Culture

Meetings should be intentional and respectful of focus time. Whenever possible:
  • Use an agenda
  • Invite only necessary participants
  • Start and end on time
  • Record decisions and action items
  • Avoid meetings when a written update is enough
  • Consider time zones before scheduling
For hybrid meetings, organizers should make sure remote participants can hear, contribute, and access the same materials as people in the room.

๐Ÿ“Š 10. Performance and Accountability

FortisArena measures performance by contribution, not by physical presence or hours spent online. Performance may be evaluated based on:
  • Quality and timeliness of work
  • Ownership of responsibilities
  • Reliability in meeting commitments
  • Communication clarity
  • Collaboration and team contribution
  • Problem-solving and initiative
  • Security and compliance awareness
  • Customer, community, or platform impact
Managers are responsible for setting clear expectations, defining success measures, providing feedback, and supporting team members in removing blockers.

๐Ÿ” 11. Security and Confidentiality

Security is a core responsibility for every FortisArena team member, especially in remote and hybrid environments. Team members must:
  • Use approved devices, accounts, and tools for company work
  • Keep passwords secure and never share login credentials
  • Enable multi-factor authentication where required
  • Lock devices when away from the workspace
  • Avoid discussing confidential information in public areas
  • Store company files only in approved systems
  • Report lost devices, suspicious activity, phishing attempts, or unauthorized access immediately
  • Follow internal access control and data handling requirements
Confidential information includes product plans, technical architecture, user data, wallet-related information, financial data, business strategy, internal documentation, credentials, source code, partnership discussions, and unreleased announcements.
FortisArena team members must not download, copy, share, publish, or transfer confidential company information outside approved systems unless explicitly authorized.

๐Ÿ’ป 12. Equipment and Tools

FortisArena may provide or approve tools, software, accounts, and equipment needed for work. Team members are expected to use company resources responsibly.

12.1 Equipment Responsibilities

Team members should:
  • Keep company equipment safe and in good working condition
  • Use devices for appropriate work-related purposes
  • Install required updates and security patches
  • Avoid unauthorized software that creates security or licensing risk
  • Return company equipment when requested or when engagement ends

12.2 Personal Devices

Personal devices may be used only where permitted and secure. If personal devices are used for FortisArena work, they must meet reasonable security standards, including device locks, updated operating systems, secure networks, and approved access controls.

๐Ÿง  13. Health, Wellbeing, and Work-Life Balance

FortisArena supports sustainable work. High-quality work requires focus, recovery, and a culture that respects personal time. Our commitments include:
  • Flexible scheduling where role and project needs allow
  • No expectation of routine after-hours work
  • Respect for planned leave and personal time
  • Encouragement of focused work blocks
  • Supportive manager conversations around workload and burnout
  • Reasonable planning to reduce unnecessary crunch
Urgent launches, tournaments, security incidents, or production issues may occasionally require additional effort. When that happens, leaders should communicate clearly, prioritize work carefully, and support recovery time after intense periods.

๐Ÿค 14. Inclusion, Respect, and Professional Conduct

FortisArena is committed to an open, respectful, and diverse workplace. This applies equally to remote chats, video calls, on-site meetings, events, and public company interactions. Team members are expected to:
  • Treat others with dignity and respect
  • Communicate professionally and constructively
  • Welcome different backgrounds, cultures, working styles, and perspectives
  • Avoid harassment, discrimination, intimidation, bullying, or exclusionary behavior
  • Resolve disagreements respectfully and focus on facts, outcomes, and shared goals
  • Represent FortisArena responsibly in external spaces
Concerns about misconduct, harassment, discrimination, or unsafe behavior should be raised through the appropriate leadership, HR, legal, or official company channel.

๐Ÿš€ 15. Onboarding, Training, and Growth

FortisArena aims to help team members grow in their roles and understand how the company works. Depending on role and business needs, onboarding and development may include:
  • Product and platform orientation
  • Security and data handling guidance
  • Tooling and workflow training
  • Team introductions
  • Role-specific expectations
  • Mentorship and peer support
  • Learning resources, courses, and documentation
  • Periodic performance and growth conversations
Some onboarding activities may be remote, while others may be scheduled on-site when in-person training would be more effective.

๐Ÿงพ 16. Expenses, Approvals, and Reimbursement

Any expense made on behalf of FortisArena must be reasonable, business-related, and approved through the appropriate internal process. Examples may include:
  • Approved travel for company events
  • Approved work tools or subscriptions
  • Approved co-working or meeting space costs
  • Approved training or certification resources
  • Approved event or tournament operations expenses
Team members should keep receipts and required documentation. Expenses that are not approved in advance may not be reimbursed.

๐Ÿงฉ 17. Exceptions and Flexible Arrangements

FortisArena understands that personal circumstances, health needs, caregiving responsibilities, disabilities, travel restrictions, local conditions, or role-specific requirements may affect workplace arrangements. Requests for exceptions may include:
  • Temporary fully remote work
  • Adjusted working hours
  • Reduced travel or on-site attendance
  • Accessibility accommodations
  • Short-term location changes
  • Modified meeting schedules
Requests should be discussed with the relevant manager or official company channel as early as possible. FortisArena will review requests in good faith while considering business needs, team impact, security, legal requirements, and fairness.

๐Ÿงญ 18. Leadership and Manager Responsibilities

Managers and team leads are responsible for making hybrid work effective. They should:
  • Set clear expectations for outcomes, deadlines, and communication
  • Avoid using office attendance as a substitute for performance management
  • Make sure remote team members have equal access to decisions and context
  • Plan on-site sessions with clear purpose and reasonable notice
  • Protect focus time where possible
  • Address performance or communication issues directly and fairly
  • Support psychological safety, inclusion, and healthy workloads
  • Model respectful communication and responsible work habits
Leaders should also ensure that important company information is not available only to people who happened to be in the room.

๐Ÿ“ 19. Locations

FortisArena currently operates with team members based in United Kingdom, United Arab Emirates, Pakistan, with remote contributors globally. Remote work from another country, city, or region may create legal, tax, security, payroll, immigration, or contractual implications. Team members should obtain approval before relocating, working internationally for an extended period, or changing their primary work location.
